Overview
When the macOS Outlook profile is occupying an enormous amount of local storage, the disk space can be minimized and optimized. The user Outlook profile size might be larger compared to the actual user mailbox size on the Kerio Connect server.
The big storage may affect the general responsiveness of the macOS Outlook application. Also, it may cause issues with emails' synchronization and performance bottleneck.
Diagnosis
Outlook for Mac, even the latest Outlook 2016 doesn’t have some of the space-saving options available to Office for Windows. In particular, the ability to only sync the most recent messages. Outlook for Mac is ‘sync all’ software. The result can be many gigabytes used on a relatively small drive. Outlook for Mac saves messages and attachments in many different files. That’s another reason why Outlook for Mac occupies so much disk space.
Solution
- Remove the Outlook profile using the outlook profile manager.
- Create a new profile and configuring the Kerio Connect Account Assistant to create a new EWS account in the newly created Outlook profile.
- Access the account settings and enabled "Download Headers Only". Enabling this option will only download large messages/attachments only when the email is selected in the message list.
